Submitting Batch Electronic Claims

Electronic Claims can be submitted in a single batch. To batch submit claims, navigate to Insurance > Pending Claims. From this view, you will see all of the services that are pending submission.

From this screen, all pending claims can be selected at once by clicking the check box at the top left. To make changes to any single claim, you can click the Edit link at the end of a row, which will bring you to the claim details.


Once you are ready to submit claims in bulk, click the Submit Selected Claims button.

Note: You can also click the down arrow button next to Submit Selected Claims to mark them in bulk as Submitted Externally.

You'll be presented with a confirmation popup along with a count of the total number of claims to be submitted.

After confirming, you'll see a popup with a summary of the submission status and links to each claim.

Claims Queued confirmation

The claims will be moved from the Pending Submission tab to the Submitted Claims tab. From here, you can check on the status of your claims. All claims submitted will start with a Queued for Submission status and will be sent to the clearinghouse an hour after it's been submitted.

Validation

Validation before claim submission

  • The system will validate required information before allowing a claim to be submitted.
  • This validation will occur before the claim is created, ensuring that you are aware of missing information upfront.
  • The pending submissions list will display appropriate warnings (indicated by a black, informational tooltip) if the client is missing required information.

You will be required to add the missing information before proceeding with the claim submission. You can click the Edit link at the end of a row, which will bring you to the claim details to add the required information.

Sorting of claims in the Submitted Claims list

  • Claims that are queued for submission but not yet actually submitted will appear at the top of the Submitted Claims list. This ensures that you can easily find and track claims that are pending submission.
  • The system will sort claims by placing the most recently submitted or queued claims at the top.

Insurance payer filtering

Claims will be filtered based on the payer ID, ensuring that claims tied to archived payers are not omitted.

Splitting pending claims by client and provider

In the Pending Submissions list, sessions tied to multiple providers for the same client will be split into separate rows based on the provider. This prevents services from different providers from being mixed into a single claim.

Handling of Self-Pay clients with insurance bills

  • If a client is set to Self-Pay in their primary billing responsibility but has a bill marked as Bill Insurance, the sessions tied to that bill will be included in the Pending Submissions list.
  • The client's billing setting will only affect sessions that are not yet tied to a bill.
