Insights: Clients
The Clients report provides a detailed overview of key information from your clients’ charts, including their current status, treatment plan status, assigned practitioner, appointment details, billing responsibilities, insurance coverage, and more. It’s designed to help you quickly access and manage essential client data in one place.

Clients Report Contents
The following information is displayed on this report:

Primary Billing Responsibility |
Determined by the client’s chart settings under Billing > Settings: Self-Pay or Insurance |

The client’s primary insurance policy, entered under Billing > Settings > Insurance |
| Secondary Payer |
The client’s secondary insurance policy, entered under Billing > Settings > Insurance |
| Default Payment Method |
The card type and last four digits of the default card on file |
| Portal Status |
Indicates if the client has access to the client portal: Access: The client has been invited to the portal, has accepted the invitation, and has created their login credentials Not Invited: The client hasn't yet been invited to the client portal Invited: The client has been invited to the client portal but hasn't yet accepted the invitation Disabled: The client's portal access has been disabled by a member of the account |

Using Report Filters
Use filters to narrow your view and focus on specific client data. Filters let you refine results by assigned practitioner (Member), client name, status, treatment plan status, primary payer, and secondary payer, helping you quickly locate the information you need.

Sorting by Column
Click any column header to sort data alphabetically or by date.
For example, sort by Client Name to organize alphabetically, by Next Appointment to view upcoming sessions, or by Auto-Pay to group clients by payment status.

Downloading Client Data
To the right of the filter options, you can download the report as a .csv file. You can exclude specific parts of the data as needed by filtering the report before selecting Download.

Frequently Asked Questions
Why do some clients not appear in the report?
Clients may be filtered out based on practitioner assignment, status, or other filters. Check your active filters to ensure they match the clients you expect to see and click the X to remove a filter if needed.
Can I download only certain data?
Yes. You can use filters before downloading to limit the dataset.
Does the report include inactive clients?
Yes, all clients show by default. You can optionally filter by client status.
