Insights: Unpaid Insurance Appointments

The Unpaid Insurance Appointments Report provides a clear overview of clients who have outstanding insurance claims on their accounts. This tool helps identify delayed or incomplete insurance payments and supports timely claim follow-ups.

Report Fields

This report includes the following key fields:

  • Date: The date of service.
  • Client: The assigned identified patient who received the service.
  • Status:
    • Accepted: The claim has been accepted by the payer for processing.
    • Approved: The claim has been processed.
    • Rejected: The claim has been either rejected or denied by the payer.
    • Submitted: The claim has been submitted, not yet accepted by the payer.
    • Submitted Externally: The customer marked the claim as being submitted externally (outside of Sessions Health).
    • Cancelled: The claim submission process has been cancelled by a user on the account (using Reopen for Edits or Void).
      • Note: If we had already transmitted the claim, this does not stop the payer from processing it.
    • Failed: The claim was immediately rejected by our clearinghouse.
    • Deleted: The claim was removed by a user on the account. It still displays here, but you can no longer click on it for details.
    • Not Submitted: No claim has been submitted yet.
  • Payer: Insurance company.
  • Billed Amount: Total charge.
  • Insurance Amount: Amount expected from the insurance payer.
  • Insurance Paid: Amount actually paid by the insurance company.
  • Insurance Write-Off: Amount written off from the billed total due to contractual or policy terms.

Filtering Options

You can customize the report by date to target specific billing periods:

  • Use the date fields at the top of the report to select a specific date range.
  • You can also filter by month or year by clicking the down arrow next to the field with the date of service.

  • The Practitioner filter allows you to isolate data for a single provider or compare data across multiple providers. Click the filter icon (three horizontal lines) to select the practitioner(s) whose data you’d like represented in the report.

Sorting Capabilities

Each column in the Unpaid Insurance Appointments Report is sortable:

  • Click on any column header to sort the data.
  • The Client, Status, and Payer columns can be sorted alphabetically.
  • All other columns (Date, Billed Amount, Insurance Paid, etc.) can be sorted numerically.

Downloading the Report

As with all Sessions Health Insights Reports, the "Unpaid Insurance Appointments" Report can be downloaded as a .CSV file. Simply click the Download button in the top right corner of the report page.
