Insights: Services

The Services report provides a summary of service usage frequency and associated financial income across your practice. It includes all past scheduled appointments, including services with a $0 rate, breaking down gross charges, client payments, insurance payments, and write-offs.

Services Report Contents


The following information is displayed on this report:

Field Definition
Service The CPT code or custom service name (configured under Settings > Billing > Services)
Units The total number of times the service was scheduled and completed during the selected timeframe, including $0 services
Total Amount The gross charge amount for this service during the selected timeframe
Client Paid Total payments collected from clients for this service during the selected timeframe
Insurance Paid Total payments collected from insurance payers for this service during the selected timeframe
Write-Off Total insurance write-offs applied to this service during the selected timeframe

Using Report Filters


Use filters to customize how report data is displayed. Select Filter to refine your view:

  • Date Range: Select the date fields to set a custom timeframe, or select the drop-down arrow to choose from standard preset periods. Start and end dates must be selected individually when entering custom ranges.
  • Members: Select All to include every clinician on the account, or check specific provider names to isolate individual caseloads. Select Uncheck All to clear selections in bulk.

To clear an active filter, select the X next to the gray filter tag displayed above the report.

Sorting by Column


Select any column header to sort data in ascending or descending order.

When sorting the Service column alphabetically:

  • Ascending order places text-based service labels (such as "Cancellation") alphabetically before numeric CPT codes.
  • Descending order places numeric CPT codes first, followed by text-based labels in reverse alphabetical order.

All other columns sort numerically in ascending or descending order.


Downloading Services Data


To the right of the filter options, you can download the report as a .csv file by selecting the Download button in the upper-right corner. You can exclude specific parts of the data as needed by filtering the report before selecting Download.

Frequently Asked Questions


Are cancelled or no-show appointments included in the Units column?

The Units column counts scheduled services that occurred within the selected date range. If a fee was assessed for a missed appointment using a specific cancellation service code, those units and fees will appear under that service entry.


Why do $0 services appear on this report?

The Services report tracks total procedure volume regardless of fee amount. Any completed service scheduled on the calendar, including pro-bono sessions or zero-dollar administrative codes, will be reflected in the Units count.


Where do I edit or add new Service codes?

You can manage CPT codes and service descriptions by navigating to Settings > Billing > Services.
