This article gives you a clear, friendly overview of what each field means, why it matters, and where it appears across the platform. It’s designed to support you during onboarding and serve as a quick reference whenever you need clarity.

Practice Information
Practice information represents your organization as a whole. Admins typically complete this during onboarding, and these details shape what clients and payers see on invoices, superbills, and insurance claims.
💡 Only your Primary Service Location and Nickname are required to continue during signup. Everything else can be added later.
What Practice Information Includes
- Account Name: The name of your practice. This is pre‑filled from your first signup screen and appears anywhere your practice name is shown, including invoices, superbills, and account‑level settings.
- Website: An optional link to your practice website or professional profile. Appears on invoices and superbills.
- Business Email: The email clients see on invoices and superbills. This may differ from your login email and should be one you’re comfortable sharing with clients.
- EIN or SSN: Your business or personal tax ID. Not required during signup, but required for CMS‑1500 claim forms and Stripe setup.
- Business NPI (Type 2): The organizational NPI used by group practices. Required on CMS‑1500 forms and appears on claims and superbills when billing under the practice.
- Business Taxonomy Code: An optional facility‑level taxonomy code. If entered, it appears on CMS‑1500 forms.
- Nickname: A short internal label for your primary service location. Helpful if your practice has multiple locations.
- Business Phone: The phone number clients see on invoices, superbills, and CMS‑1500 forms.
- Primary Service Location: The address where services are rendered. Appears on invoices, superbills, and CMS‑1500 forms unless overridden in Billing Settings > Insurance > Settings.
- Place of Service Code: A standardized code for your service location. Code 11 – Office is selected by default. Use 02 or 10 for Telehealth if required by payers.

Why Practice Information Matters
Accurate practice information helps payers verify your organization and ensures that claims and payments process smoothly. It also shapes what clients see on their financial documents, supporting clarity and trust.
Updating Practice Information
Admins can update practice‑level details in Account Settings > Account. See Managing Business Information for step-by-step instructions.
Professional Information
Professional information is tied to you as a practitioner. These fields help Sessions Health display your name, credentials, and identifiers accurately across the platform.
💡 All fields in this section are optional during signup. You may be asked for them later if you generate an insurance claim.
What Professional Information Includes
- Legal Name: The name associated with your professional license. Appears on claims, superbills, and formal documents. Your preferred name continues to appear throughout the platform (calendar, notes, invoices).
- NPI (Type 1): Your individual NPI. Required on CMS‑1500 forms and appears on claims, superbills, and clinical documentation.
- Taxonomy Code: A standardized code identifying your provider type or specialty. Optional, but some payers require it. Appears on CMS‑1500 forms if entered.
- License Type: Your professional license type (e.g., LCPC, LCSW, LMFT). Appears on claims, superbills, and clinical documentation.

If you hold licenses in multiple states, you may list them all separated by a comma.

Practitioner Preferred and Legal Names
Sessions Health allows you to use a preferred name throughout the platform while keeping a legal name on file for billing and insurance purposes.
To add your legal name, select Add Legal Name on the Professional Information screen. To remove it, select Remove Legal Name.
You can update your name anytime from your Profile (select your initials in the top‑right corner). Administrators can also manage practitioner names within the account.
Editing Your Professional Information
You can update your professional details at any time. Open your Profile by selecting your initials in the top‑right corner of Sessions Health. From there, you can edit your NPI, taxonomy code, license type, license number, and any other professional information.

Changing Your Account Email Address
To change your sign-in email, go to your Profile by selecting your initials in the upper-right corner. See Profile Information for full steps.
ℹ️ Changing your login email does not change your public-facing Business Email.
Frequently Asked Questions
Do I need to complete all of this information during signup?
No. Only your Primary Service Location and Nickname are required. Everything else can be added later.
What if my practice has more than one location?
You can add additional service locations later. Nicknames help you tell them apart internally.
Do I need both an NPI Type 1 and an NPI Type 2?
Most solo practitioners only use an NPI Type 1. Group practices typically use both. If you’re unsure, your billing administrator or payer can confirm.
Can I use my SSN instead of an EIN?
Yes. If you don’t have an EIN, you can use your SSN for both practice‑level and practitioner‑level fields. You can also override the practice EIN with your own if you bill individually.
