Using Session Transcription in Integrated Telehealth

Session Transcription captures audio during a telehealth call and uses it to generate a draft session note after the call ends. A transcript is also created and can be used as a reference while you complete your documentation. You can turn transcription on at any point during the session, and everything is processed quietly in the background after the call finishes. After processing, the audio recording is immediately deleted and is not stored in Sessions Health.

This article walks through how to start transcription, how to pause or resume it, and how to access your transcript while completing your documentation.

ℹ️ Before you begin, make sure a few things are in place so transcription can run smoothly:

  • AI features are enabled for your account
  • You have a session on the calendar
  • A client has checked into the telehealth waiting room

Starting a Call With Session Transcription


When you join a telehealth session, choose Start Call with Transcription to begin recording and transcribing immediately.

Starting Transcription During a Call


If you begin the call without transcription, you can still turn it on at any time.

Select the Start recording button in the call toolbar to begin transcription.

Stopping or Pausing Transcription


During the call, you’ll see a pause button. Selecting it stops recording immediately.

If you want to resume, select Start recording again. You can toggle this as many times as you need during the session.


Accessing Your Transcript


After the call ends, the system begins processing the audio in the background. A draft session note is created from this process and will appear within a few minutes. You’ll also receive a notification in the Notes section when the draft note is ready for review, so you can move on to other work while it processes.

The transcript is available as an optional reference while you work on your note. If the note is signed or seven days pass after the session, the transcript is permanently deleted.

ℹ️ This may take a few minutes, especially for longer sessions.

Once it’s ready, the transcript appears in the session’s Notes area where you can review the conversation while completing your documentation.

🔔 Your transcript is available for up to 7 days. After that, it is permanently deleted and cannot be restored.


Frequently Asked Questions


How long does transcription take?

Most transcripts are ready within a few minutes. Longer or more detailed sessions may take a little extra time.


Can I stop and restart transcription during the call?

Yes. You can pause and resume transcription at any point using the call controls.


What if my transcript doesn’t generate?

If you see an error or the transcript doesn’t appear after several minutes, try refreshing the appointment page. If it still doesn’t show up, our customer success team is happy to help at support@sessionshealth.com.


What happens to the audio recording?

Once the transcription is generated, the audio recording is immediately and permanently deleted.


What happens to the transcription?

We retain the transcription for up to 7 days and make it available to you during that time. Once you sign the note or after 7 days have passed, the transcription is permanently deleted.
