Superbills: Configure Superbill Settings

Configuring your superbill settings ensures generated documents include all the practice, provider, and payment details insurance payers require for reimbursement. Setting these details up in advance prevents errors and claim rejections.

Configuring Business Information and Service Locations


Practice-wide contact details, business emails, and physical service addresses populate directly on the header of generated superbills.

Updating Business Information

  1. Navigate to Account Settings > Account.
  2. In the Business Information panel, click Edit.
  3. Enter or update your Account Name and Business Email.
  4. Click Save.

💡 Entering a Business Email ensures a general practice email displays on superbills rather than an individual practitioner's personal login email.

Managing Service Locations

Service locations store physical office addresses for your practice. Entering your locations here allows you to choose whether a specific office address or your primary account address appears on your superbills when configuring your Bill Settings.

  1. Under Account Settings > Account, locate the Service Locations panel.
  2. Click + Add to create a new location, or click Edit next to an existing location.
  3. Update the location name, street address, city, state, and ZIP code.
  4. Click Save.

Configuring Account Bill Settings


Account-level bill settings control how your organization name, billing address, payment assignment preferences, and footer comments display on billing documents.

  1. Navigate to Billing Settings > Settings.
  2. Locate the Bill Settings panel and click Edit.
  3. In the modal, configure your display options:
    • Organization Name: Select Default to use your main account name, or select Custom to enter a distinct practice name for billing documents.
    • Address Selection: Choose whether to display your Primary account address, Service address, or a Custom address.
    • Make Payments To: Select who the insurance payer should issue reimbursement checks to (Client, Provider, Practice, or Not Included).
    • Footer Comments (Optional): Toggle on Display footer comment on billing documents, check the box for superbills, and enter any custom text.
  4. Click Save.

ℹ️ Understanding "Make Payments To":

  • Client (Most Common): Select Client if clients pay you out-of-pocket at the time of service. This instructs the insurance company to send the reimbursement check directly to the client.
  • Practice or Provider: Select Practice or Provider if you do not collect payment upfront from the client and want insurance to reimburse your practice directly.

Configuring Practice Insurance Settings


Insurance settings store your practice Tax ID (EIN or SSN) and organizational billing identifiers that display directly on superbills and claim forms.

  1. Navigate to Billing Settings > Insurance > Settings.
  2. Check the box for "Insurance features enabled?".
  3. Locate the Insurance Settings panel and click Edit.
  4. Enter your practice tax identification number in the EIN or SSN field.
  5. If operating as a group practice billing under an organization, select Organization under "Who will be the Billing Provider in Box 33?" and enter your organization's NPI and Taxonomy Code.
  6. Click Save.

💡 Tax ID Guidance: Whether you use a business Employer Identification Number (EIN) or an individual Social Security Number (SSN) as your official tax identifier, entering it in this field ensures it populates accurately in the practice header of all generated superbills.


Configuring Practitioner Clinical Information


Superbills require the rendering provider's legal name, NPI, taxonomy code, and state license details for insurance processing.

Practitioners can configure their complete clinical credentials from their profile settings:

  1. Click your profile name or icon in the upper-right corner and select Profile.
  2. On the default Profile tab, check your Name. If your display name already matches your legal name, no change is needed. If your display name differs from your legal name, enter your Legal First Name and Legal Last Name (insurance payers require legal names on superbills).
  3. Click the Clinical Info tab on the left sidebar menu.
  4. Enter or update your NPI, Taxonomy Code, License Type, and License Number.
  5. Click Save.

👥 Note for Practice Administrators: Account administrators can update a practitioner's Legal Name, NPI, and Taxonomy Code by navigating to Account Settings > Members, clicking the three-dot menu next to the member, and selecting Edit Clinical Information.


Automated Creation and Sharing Settings


Sessions Health can automatically generate and deliver monthly superbills for your clients based on your practice schedule.

  • Practice-Wide Schedule: Set the monthly generation date under Billing Settings > Settings > Billing Automation.
  • Client Toggles: Turn on monthly creation for specific clients under Clients > [Client Name] > Billing > Settings.
  • Automatic Delivery: Default email and portal delivery preferences are managed under Billing Settings > Settings > Billing Automation.

Frequently Asked Questions


Where does the "Default Name" option pull from in Bill Settings?

The default name is pulled directly from the Account Name field located in Account Settings > Account > Business Information.


Where does the Tax ID on superbills come from?

The Tax ID (EIN or SSN) is pulled directly from the EIN or SSN field located under Billing Settings > Insurance.


What option should I select for "For superbills, make payments to"?

Select Client (most common) if clients pay you out-of-pocket and seek reimbursement from their insurer. Select Practice or Provider if you accept assignment of benefits and do not collect payment upfront, or choose Not Included to omit this statement from your superbills entirely.


Why isn't my business email showing up on superbills?

If the Business Email field under Account Settings > Account is left blank, the system defaults to displaying the individual practitioner's profile email address.


Where does the practice address on superbills come from?

The address is pulled from your selection in Billing Settings > Bill Settings (Primary Account Address, Service Address, or Custom).


Can an account administrator add license numbers for other team members?

No. While administrators can edit legal names, NPIs, and taxonomy codes under Account Settings > Members, license types and license numbers must be entered directly by each practitioner under their own Profile > Clinical Info page.


Does updating these settings change previously created superbills?

No. Superbills lock in a snapshot of your account, provider, and session details when they are created. Updating your settings later will not dynamically update existing superbills. To apply new settings to a past document, you must delete the superbill and regenerate it.
